A luxury homebuilder that has partnered with Atrium since 2018 for MSP services recently upgraded its Vendor Management System (VMS) to VectorVMS. The company wanted to adopt a more advanced, cloud-based VMS to streamline its hiring processes while enhancing both user experience and reporting capabilities. The transition from the legacy system to VectorVMS was planned to take place between 2023 and early 2024, and the company collaborated closely with Atrium to ensure a seamless migration and accomplish operational efficiencies and improved compliance.

As part of our commitment to innovation, Atrium led this critical project to innovate and keep pace with our client’s evolving needs and desire for a more modern, robust VMS. To support implementation, Atrium and VectorVMS deployed project management and service delivery team resources to ensure a successful system transformation and activation. In addition, joint weekly client status calls were held to uphold positive and effective communication and coordination throughout the project lifecycle. 

Our team of Atrium and VectorVMS implementation experts understood the importance of minimizing any disruption during the transition process for the client stakeholders, hiring managers, suppliers, and workers. Using a proven change management methodology, the team was able to successfully complete the transition without a blackout period in record time. While the activation of VectorVMS resulted in many improvements, key processes (such as candidate submissions and interview requests) and key features (such as single sign-on and requisition budget approval) were retained to provide business continuity to hiring managers and suppliers alike.

We also implemented a client-branded Productivity dashboard, which significantly streamlined the management of timesheets and enhanced the manager experience. Another benefit of implementing VectorVMS was improved reporting and supplier analytics, empowering Atrium and the client to make more strategic data-driven business decisions.

VectorVMS offered automated sales tax calculations, which eliminated a process that had been time-consuming and inefficient in the legacy VMS. The Atrium and VectorVMS teams also collaborated to create customer user guides for hiring managers and suppliers; this concierge approach contributed significantly to user adoption, which was critical with such a rapid deployment.

The implementation of VectorVMS for our client’s MSP program was carried out seamlessly within the tight seven-week time frame. The execution was effectively performed by the Atrium and VectorVMS teams, requiring minimal effort from the client. Powered by the longstanding partnership between Atrium and VectorVMS, client stakeholders praised the thoughtful change management strategy, thorough and consultative approach, and successful implementation.
